Migrating From Exercise Books to Laundry POS

A low-risk checklist for Nigerian laundry shops replacing paper ledgers with cloud POS — data import, staff training, and the first two weeks.

The exercise book is not evil — it is complete until you hire a second attendant, open a second branch, or a regular customer disputes a balance.

Week 0 — prepare

  • List your top 20 services and current prices
  • Export repeat customers (name + phone minimum)
  • Decide who is admin vs counter staff

Week 1 — parallel run

  • New walk-ins go through POS only
  • Keep the notebook as backup — do not dual-enter forever
  • End each day comparing POS total to cash in drawer

Week 2 — cut over

  • Import customers and services (CSV supported)
  • Retire the notebook for new orders
  • Turn on SMS or receipt printing if you use them

Common pitfalls

  • Skipping statuses — staff jump straight to "ready" and rack chaos returns
  • Owner-only login — give attendants scoped POS access
  • No promised dates — delivery promises slip without a field on the order
